MEPTrax Privacy Policy

MEPTrax respects the privacy of its users and the confidentiality of the business and project information entrusted to the MEPTrax platform.
This Privacy Policy explains what information we collect, how we use and protect it, when information may be accessed or disclosed, how information may be used to improve MEPTrax and its artificial-intelligence capabilities, and the choices and rights available to users.
The MEPTrax Services are currently provided by Quality Electric, Inc., a Florida corporation, operating under the MEPTrax name. In this Privacy Policy, “MEPTrax,” “we,” “us,” and “our” refer to Quality Electric, Inc. in its operation of the MEPTrax Services.
This Privacy Policy applies to the MEPTrax websites, software, applications, products, features, and services (collectively, the “Services”).
1. Information We Collect
When you use MEPTrax, we may collect information you provide directly to us, including:
- your name and email address;
- account and organization information;
- billing and transaction information if you purchase paid Services;
- information you provide when contacting us for support;
- project names and related project information;
- construction drawings, plans, PDFs, images, photographs, specifications, and other files you upload;
- takeoff information you create, including rooms, zones, assemblies, markers, counts, measurements, notes, and related project data;
- estimating, quoting, pricing, material, labor, field-production, change-order, operational, and other business information where applicable to the Services you use; and
- information you provide when inviting, sharing, or collaborating with other authorized users.
We may also automatically collect technical and operational information, including:
- IP address;
- browser and device information;
- login and authentication information;
- dates and times of access;
- application activity and feature usage;
- file upload and access events;
- sharing or collaboration events;
- security events;
- error, diagnostic, and performance information; and
- other technical information reasonably necessary to operate, secure, support, and improve the Services.
2. Project Data
Your construction plans, project information, takeoffs, counts, measurements, estimates, assemblies, pricing information, field information, and related files and business information are referred to in this Privacy Policy as “Project Data.”
MEPTrax is designed to segregate Project Data by account or organization so that unrelated MEPTrax customers cannot access your identifiable Project Data through their accounts.
MEPTrax does not sell your identifiable Project Data.
MEPTrax does not make your private Project Data publicly available except where you deliberately use a feature designed to share or provide access to that information, or where disclosure is otherwise permitted by this Privacy Policy or required by law.
If you choose to share a project, file, or other information with another person, that person may be able to access the information you have chosen to share.
You are responsible for deciding who you authorize to access your Project Data.
3. Administrative Access to Project Data
MEPTrax does not routinely review private Project Data.
Authorized MEPTrax personnel, contractors, or service providers may access Project Data when reasonably necessary to:
- operate and maintain the Services;
- provide support requested by a user;
- diagnose or correct technical problems;
- investigate security incidents;
- prevent fraud, abuse, or misuse;
- investigate suspected violations of our Terms of Service;
- protect MEPTrax, its customers, users, systems, or others;
- develop, test, maintain, and improve the Services as permitted by our Terms of Service and this Privacy Policy;
- comply with applicable law or valid legal process;
- respond to emergencies involving a risk of serious harm; or
- preserve or disclose information where required by law.
Administrative access should be limited to what is reasonably necessary for the applicable purpose.
4. How We Use Information
MEPTrax may use information collected through the Services to:
- provide and operate MEPTrax;
- authenticate users and maintain accounts;
- store and process projects and other information;
- perform actions requested by users;
- provide sharing and collaboration functionality;
- provide takeoff, estimating, quoting, field, operational, and other functionality;
- maintain the security, integrity, and reliability of the Services;
- detect and investigate unauthorized access, fraud, abuse, or misuse;
- diagnose and correct technical problems;
- provide customer support;
- communicate important information about accounts or the Services;
- process payments and administer paid Services where applicable;
- understand how the Services are used;
- develop and improve functionality, performance, usability, artificial intelligence, machine learning, and automated systems;
- enforce our Terms of Service; and
- comply with applicable legal obligations.
MEPTrax does not sell personal information or identifiable Project Data for third parties’ independent marketing or commercial use.
5. Uploaded Plans and Third-Party Information
Files uploaded to MEPTrax are stored and processed in connection with your account, organization, projects, and use of the Services.
Uploading content to MEPTrax does not transfer ownership of that content to MEPTrax.
You are responsible for ensuring that you have the legal right, permission, authorization, or other lawful basis necessary to upload, store, process, and share plans, drawings, documents, photographs, personal information, or other materials you submit to MEPTrax.
Your use of MEPTrax does not give you the right to upload or distribute information or materials that you do not have the legal right to possess, use, process, or distribute.
6. Business Accounts and Other Individuals’ Information
MEPTrax is primarily a business-oriented service.
Businesses using MEPTrax may submit information concerning their customers, employees, subcontractors, suppliers, project contacts, or other individuals.
Where a business submits personal information about another individual, that business is responsible for determining that it has an appropriate legal basis to collect and process the information and for providing notices or obtaining consents required by applicable law.
If you use MEPTrax to collect or process employee or worker information, including time records, photographs, activity information, or location information, you are responsible for complying with applicable employment, labor, monitoring, privacy, notice, and consent requirements.
7. Sharing and Collaboration
MEPTrax may provide functionality allowing users to invite other users, share projects, create shared links, or otherwise provide access to Project Data.
Information about those actions may be recorded for security, auditing, support, and service-operation purposes.
You are responsible for:
- selecting appropriate recipients;
- managing access you grant to other people;
- protecting shared links and credentials;
- ensuring that you have authority to share the information; and
- revoking access when it is no longer appropriate.
MEPTrax may restrict or disable sharing functionality where reasonably necessary to prevent abuse, unauthorized access, security threats, or unlawful activity.
8. Service Providers
MEPTrax uses third-party infrastructure and technology providers to operate the Services.
These providers may process or store information on our behalf where reasonably necessary to provide their services.
Providers may include services used for:
- cloud infrastructure;
- databases;
- file storage;
- authentication;
- email and communications;
- website and application security;
- error monitoring;
- diagnostics;
- analytics; and
- payment processing.
Service providers may receive access to information only as reasonably necessary to perform services for MEPTrax and subject to applicable contractual, confidentiality, security, and privacy obligations.
MEPTrax does not authorize its service providers to use identifiable Project Data for their own independent marketing purposes.
9. Cookies and Similar Technologies
MEPTrax may use cookies and similar technologies to:
- authenticate users;
- keep users signed in;
- maintain secure sessions;
- remember preferences;
- protect against unauthorized access;
- maintain website and application functionality; and
- understand and diagnose performance and usage.
MEPTrax may use analytics technologies to understand how its websites and Services are used.
If MEPTrax introduces advertising, marketing, or additional analytics technologies requiring additional disclosure or consent, we will update our practices and provide consent mechanisms where required by applicable law.
10. Security and Activity Logs
MEPTrax may maintain records of activity associated with accounts, organizations, projects, and the Services for legitimate operational and security purposes.
These records may include login events, IP addresses, uploads, downloads, file access, sharing events, changes to permissions, application activity, and other significant account events.
Such records may be used to:
- secure accounts and systems;
- diagnose problems;
- investigate unauthorized access;
- investigate suspected abuse or fraud;
- enforce our Terms of Service;
- protect users and customers; and
- comply with legal obligations.
11. Product Improvement and Artificial Intelligence
One purpose of MEPTrax is to become more useful as the system learns from actual use.
MEPTrax may use information generated through use of the Services to develop, train, test, evaluate, maintain, and improve:
- MEPTrax software;
- artificial-intelligence and machine-learning systems;
- automated recognition and classification systems;
- algorithms and models;
- assemblies and assembly recommendations;
- symbol recognition;
- estimating and takeoff functionality;
- operational analysis;
- recommendations;
- workflows; and
- other existing or future MEPTrax functionality.
When information derived from Project Data is used for these broader improvement purposes, MEPTrax will take reasonable measures to aggregate, anonymize, de-identify, transform, or otherwise process the information so that it is not reasonably associated with an identifiable user, customer, customer of a customer, particular project, or identifiable individual.
MEPTrax may use aggregated, anonymized, de-identified, statistical, and derived information to develop, train, test, evaluate, maintain, and improve MEPTrax and its artificial-intelligence and machine-learning capabilities and to provide improved functionality to customers.
For example, MEPTrax may learn from how users classify symbols, select assemblies, correct suggestions, organize work, or respond to system recommendations without identifying the contractor or project from which that learning originated.
MEPTrax may retain and use aggregated, anonymized, de-identified, statistical, and derived information after the underlying Project Data or account is deleted, provided that the retained information cannot reasonably be used by MEPTrax to identify the customer or an identifiable individual.
MEPTrax will not intentionally expose one customer’s identifiable bids, customers, pricing, plans, projects, profitability, or other confidential business information to unrelated customers merely because information derived from that customer’s use contributed to improving MEPTrax.
The purpose of learning across the Services is to improve MEPTrax’s capabilities, not to disclose one customer’s identifiable confidential business information to another.
MEPTrax does not sell personal information or identifiable Project Data for third parties’ independent marketing or commercial use.
12. Data Retention
MEPTrax retains account information and Project Data for as long as reasonably necessary to provide the Services, maintain accounts, and fulfill the purposes described in this Privacy Policy.
When you delete Project Data or close an account, information may remain temporarily in backups, logs, security records, or other systems until removed through normal retention processes.
MEPTrax may preserve certain information for longer when reasonably necessary or legally required for:
- security investigations;
- fraud or abuse prevention;
- dispute resolution;
- enforcement of agreements;
- compliance with legal obligations;
- preservation requirements; or
- valid legal process.
A request to delete information does not require MEPTrax to destroy information that applicable law permits or requires us to retain.
Aggregated, anonymized, de-identified, statistical, and derived information that no longer reasonably identifies a customer or identifiable individual may be retained as described in Section 11.
13. Data Security
MEPTrax uses reasonable technical and organizational measures designed to protect account information, personal information, and Project Data against unauthorized access, loss, misuse, alteration, or disclosure.
These measures may include authentication, access controls, segregation of customer data, logging, encryption where appropriate, and security controls provided by our infrastructure providers.
No Internet-based service, computer system, or storage system can guarantee absolute security.
MEPTrax therefore cannot guarantee that unauthorized access, disclosure, loss, or misuse will never occur.
Users are responsible for protecting their credentials and should promptly notify MEPTrax if they believe an account has been compromised.
14. Ownership of Project Data
As between you and MEPTrax, you retain your rights in the Project Data you upload or create through the Services.
You grant MEPTrax the rights described in the Terms of Service necessary to host, store, process, reproduce, transmit, display, analyze, secure, support, and otherwise handle Project Data in connection with providing and operating the Services and as otherwise permitted by the Terms of Service and this Privacy Policy.
Nothing in this Privacy Policy transfers ownership of your Project Data to MEPTrax.
15. Your Privacy Rights and Choices
Depending on where you live and applicable law, you may have rights concerning your personal information, which may include rights to:
- request access to personal information we maintain about you;
- request correction of inaccurate personal information;
- request deletion of certain personal information;
- request a copy of certain personal information;
- object to or restrict certain processing;
- withdraw consent where processing depends upon consent; and
- exercise other privacy rights provided by applicable law.
These rights may be subject to exceptions and limitations under applicable law.
MEPTrax may need to verify your identity before processing a request.
Where a request concerns personal information controlled by a MEPTrax business customer rather than MEPTrax itself, we may direct the request to that customer or ask you to contact the applicable business.
Some information may be retained despite a deletion request where retention is reasonably necessary or legally permitted for security, fraud prevention, dispute resolution, enforcement of agreements, compliance with legal obligations, or other lawful purposes.

16. Children’s Privacy
MEPTrax is a business-oriented service and is not intended for use by children.
MEPTrax does not knowingly offer accounts to children under 13 or knowingly collect personal information directly from children under 13 through the ordinary operation of the Services.
If we become aware that personal information from a child under 13 has been collected contrary to this Policy, we will take appropriate action consistent with applicable law.
17. Unlawful Use and Legal Obligations
MEPTrax may not be used in violation of applicable law or the MEPTrax Terms of Service.
MEPTrax does not routinely inspect private customer files for unlawful content.
If MEPTrax becomes aware of suspected illegal activity, prohibited content, security threats, or other unlawful use of the Services, we may take actions reasonably necessary or required by law, including restricting access, preserving relevant information, suspending or terminating accounts, investigating activity, responding to valid legal process, or reporting information to appropriate authorities where required by law.
Nothing in this Privacy Policy requires MEPTrax to provide continued access to content or accounts that we reasonably believe violate applicable law or our Terms of Service.
18. Third-Party Websites and Services
MEPTrax may contain links to or integrations with third-party websites, applications, or services.
Independent third parties maintain their own privacy practices.
MEPTrax is not responsible for the privacy practices of third-party services it does not control.
19. International Users
MEPTrax and its service providers may process information in the United States and other countries.
If you access MEPTrax from outside the United States, your information may be transferred to or processed in countries whose privacy and data-protection laws differ from those in your jurisdiction.
Where required by applicable law, MEPTrax will take appropriate measures concerning international transfers of personal information.
20. Legal Requests and Protection of Rights
MEPTrax may access, preserve, restrict, or disclose information when we reasonably believe doing so is necessary to:
- comply with applicable law;
- respond to valid legal process;
- satisfy legally required reporting or preservation obligations;
- investigate suspected illegal activity, fraud, abuse, or security incidents;
- enforce our agreements;
- protect the rights or property of MEPTrax;
- protect the security or integrity of the Services;
- protect customers, users, or other persons; or
- address an emergency involving potential serious harm.
Where legally permitted and reasonably practical, MEPTrax will seek to limit disclosures to information reasonably relevant to the applicable purpose.
21. No Sale of Personal Information
MEPTrax does not sell personal information or identifiable Project Data for third parties’ independent marketing or commercial use.
MEPTrax’s use of aggregated, anonymized, de-identified, statistical, or derived information to operate, develop, train, evaluate, or improve MEPTrax and its artificial-intelligence or machine-learning capabilities is not intended to provide another business with identifiable information about you, your company, your customers, or your projects.
22. Changes to This Privacy Policy
MEPTrax may update this Privacy Policy as the Services, technology, business, or applicable legal requirements change.
When material changes are made, we will update the “Last Updated” date and provide additional notice where required by applicable law.
If applicable law requires consent to a particular change, MEPTrax will obtain that consent where required.
23. Relationship to the Terms of Service
This Privacy Policy should be read together with the MEPTrax Terms of Service.
The Terms of Service govern your use of the Services and contain additional provisions concerning Customer Content, artificial intelligence and product improvement, acceptable use, account responsibilities, and other matters.
